Social Enterprise Operations Associate

The Opportunity:
The Social Enterprise Operations Associate supports the daily administration of the Social Enterprise in a local site in conjunction with the Social Enterprise Leadership and Site Director, including supporting crew attendance rates and reporting as well as covering Site Supervisor absences. Regularly assist and ensure the safety of vehicles, trailers and equipment maintenance, supporting Social Enterprise Leadership and Site Director in triaging operational challenges, ordering of PPE and tracking supplies, assisting with scheduling. The Lead role must distinguish successfully between situations in which established protocols apply, those in which one must exercise independent judgment, and those that need input from senior leadership.

The Center for Employment Opportunities (CEO) provides employment services to people with recent criminal convictions. Across the United States, over 6,000 people participate in CEO each year, transitioning to employment that supports themselves, their families, and their communities.

What began as a demonstration project of the Vera Institute of Justice in the 1970s to address employment barriers facing the formerly incarcerated following release in New York City has grown into the leading reentry employment organization in the country, where over 25,000 formerly incarcerated individuals have secured full-time employment since 1996. Since 2009, CEO has gained support to expand its programs through government, nonprofit, and private organizations including the Federal Social Innovation Fund, the Edna McConnell Clark Foundation, Robin Hood Foundation, and Rockefeller Foundation. In 2016, CEO embarked on a 5-year strategic plan to grow to serve 9,000 participants annually

The Nitty Gritty Qualifications:
At least two years of operations experience (inventory, ordering, procurement)
Valid driver's license with good driving record
Must be able to: lift 75 pounds and walk or stand for long periods of time
Highly Skilled in Google Suite and working knowledge of Salesforce

What You'll be Responsible For:
Key responsibilities of the Social Enterprise Operations Associate include but are not limited to:

Performance Management and Administrative Support:
Prepares, compiles and ensures daily, weekly and monthly crew reports are accurate and submitted on a daily, weekly basis or as required per TJ contract basis
Actively monitors correct submission of daily timesheets and intervenes to correct errors
Prepares and compiles daily and monthly Social Enterprise reporting in a timely manner with support from Social Enterprise Leadership and Site Director when necessary.
Ensure and maintains consistent crew attendance rates by calling, texting or emailing participants using Salesforce reports and maintaining Skedulo system updates with support from TJ and Vocational management and front line staff when necessary
Assist Site Director and SEM track invoice issued, returned, and paid and follows up as needed to ensure timely payment or receipts
Creates and maintains systems that ensure operational efficiency
Creates monthly and quarterly reports as needed
Supports the submission of injury reporting and medical documentation followup
Keeps relevant vehicle information up to date in internal trackers to ensure seamless coordination with the Compliance and Finance Departments
Troubleshoot, create CORE Cases and track Ptcp payroll issues and report out to larger team resolutions
Report and track TJ related COVID, incidents, accident, etc issues to ensure safety standards are optimal and crew attendance is minimally impacted
Assist with systems build outs for tracking various logistics, scheduling needs and work projects
Assist with documentation of policies and protocols
Additional duties as assigned

Safety, Fleet, Equipment and Supplies Liaison:
Supports the tracking of inventory and orders supplies for site and crews using Internal Purchase Requests on Salesforce as necessary
Alternate leading crew launch, and report on any scheduling issues that arise
Provides guidance to Site Supervisors day-to-day on things like vehicle and equipment challenges such as flat tires, van breakdowns, trailer light and wiring issues, and toilet trailer issues.
Ensures TJ staff have all maintenance and emergency phone numbers stored in CEO phones and in the vans.
Tracks inventory and orders supplies for site and crews using Internal SutiProcure on Salesforce.
Ensures crews adhere to all CEO, COVID and contract safety standards.
Ensures legal compliance for vehicles related to insurance and registration.
Ensures crews adhere to all CEO safety standards
Supports the legal compliance for vehicles in terms of insurance and registration as necessary
Additional duties as assigned

Crew Launch Support and Ad Hoc Crew Supervision:
Supervises the crew launch every morning from 5:00am to roughly 6:45am (or as specific crew schedules dictate) and ensures smooth operations
Supports Site Supervisors in conducting and documenting coaching conversations with participants around performance issues
Supervises the Standby process and ensures proper documentation to ensure daily crew attendance rates
Manages communication with DATA and Payroll around participant attendance and pay issues
Communicates with DATA to set crew assignments to correct Supervisor daily.
In the absence of Site Supervisors, and as assigned, acts in the capacity of a Site Supervisor. Expected 10% of the time.

Compensation and Benefits:
The salary range for this position is $52,700-56,500. In an effort to be both equitable and transparent, CEO's compensation philosophy considers a variety of factors, including, but not limited to, experience, internal equity, and home office location in making a final determination on our salary offer.
